The small business field guide
How to make a receipt
A receipt proves one payment and shows what is still owed. Three steps to match it, record it and show what is left. A worked part-payment receipt and a free receipt maker are on the page.
Fill it in. Download the PDF. No sign-up.The quick answer
To make a receipt, match it to one payment and the invoice it pays, record the date the money arrived, the amount, how it was paid and a reference, and show what is left: the invoice total, what was paid before, what was paid now and the balance. Give it to the person who paid and keep a copy. A receipt proves a payment. It does not ask for money.
01 / Start here
Before you make your first receipt
A receipt answers three questions after money has changed hands. Who paid? How much, and when? What is still owed?
A receipt is the last paper in a job, and often the one in the middle too. Every payment gets one, so a job with a deposit and two part payments has four. The IRS lists receipts among the supporting documents that sit behind a business’s books. [1]
This guide follows one job: the hallway and bedroom painting from the estimate guide, the change order, the progress invoice and the final invoice. Here is how each payment gets its receipt.
After payment
Receipt
Proves one payment and shows what is left. Make one below.
For contractors
Lien release
A separate paper that gives up a claim on the property for the work that was paid. Not a receipt.
Rules depend on where you work. This guide is written for the United States. Receipt rules, lien rules and record-keeping rules differ by state and by trade. The examples teach the method. They are not legal or tax advice.
02 / The method
How to make a receipt in 3 steps
The three steps are the same for a $20 payment and a $20,000 one. The third is the one most receipts leave out.
- Match One receipt, one payment, one invoice number. Helps avoid A receipt nobody can place.
- Record The date it arrived, the amount, how it was paid, a reference. Helps avoid A receipt that proves nothing.
- Show what is left Invoice total, paid before, paid now, balance. Helps avoid A “paid” receipt for part of a bill.
Never skip what is left. A part-payment receipt that hides the balance invites a dispute.
-
Match: tie the receipt to one payment and one invoice
Make one receipt for each payment, not one for a whole job. Put the number of the invoice it pays on the receipt, and give the receipt its own number. If the payment is not for an invoice, write what it was for. The IRS lists receipts, invoices and deposit slips among the supporting documents behind a business’s books. [1]
In this guide’s job there are four payments and four receipts: the deposit, the hallway invoice, and two part payments on the final invoice. Each one has its own number, from RCT-0001 to RCT-0004.
Instead of: Paid, thanks
Write: Receipt RCT-0003 for invoice INV-2026-002, payment of $300.00
Helps avoid A receipt nobody can place.
-
Record: write the date, the amount, how it was paid and a reference
Use the date the money arrived, not the date you made the receipt. Write the exact amount and how it was paid: Zelle, check, cash or card. Add a reference, such as a Zelle confirmation code or a check number, so you can find the payment on your statement.
Think of what your client’s books will need. The IRS says documentary evidence is ordinarily adequate if it shows the amount, date, place and essential character of the expense. [2] That is a good test for your receipt too.
Never print a whole card number. Federal law says a person who accepts credit or debit cards may not print more than the last five digits of the number, or the expiration date, on an electronically printed receipt for the cardholder at the point of sale. [3]
Instead of: Received $300.00
Write: Received $300.00 by Zelle on Nov 14 2026, confirmation ZEL-48213
Helps avoid A receipt that proves nothing, or shows a card number it should not.
-
Show what is left: the invoice total, what was paid before, this payment and the balance
A receipt for a part payment must say it was a part payment. Show four numbers: the invoice total, what was paid before, what was paid now and what is left. If the bill is now paid in full, say “Paid in full” and show $0.00. If more was paid than was owed, show the credit that is due.
A receipt that says “paid” and hides the balance leads to a dispute. In this guide’s job, the receipt for $300.00 shows $180.00 still to pay on INV-2026-002.
Left to pay = invoice total − paid before − this payment
Helps avoid A “paid” receipt for part of a bill.
Never skip the balance. A part-payment receipt that does not show what is left invites a dispute.
Payments all the time?
In InvoiceWren your client taps “I’ve paid” and you confirm it. Then the payment gets a numbered receipt, and the receipt shows what is left.

A complete receipt example
Here is a made-up receipt for a part payment. Alex owes $480.00 on INV-2026-002 after the $200 deposit. Alex pays $300 on Nov 14 2026, and $180.00 is left. To keep the focus on the method, this example assumes no sales tax applies.
RCT-0003
For invoice INV-2026-002
What this payment is toward
| Description | Invoice total |
|---|---|
| Invoice INV-2026-002 · bedroom painting, final invoice | $680.00 |
Note
Thank you. This receipt proves the payment of $300.00 received on Nov 14 2026. The balance of $180.00 is due Nov 21 2026.
Made-up names, address, prices, dates and confirmation code. The dates after Nov 07 2026 are example dates. A receipt proves a payment. It is not a bill.
Number: one receipt, one unique ID.
Payer: who paid, and for which job.
Date and method: when it arrived and how.
Reference: something you can find on your statement.
Paid before: earlier payments, each once.
Left to pay: what is still owed.
Here is every receipt in the job. The four payments add up to the agreed total of $1,000.00.
| Receipt | Date | For | Amount |
|---|---|---|---|
| RCT-0001 | Nov 01 2026 | Deposit, EST-2026-014 | $200.00 |
| RCT-0002 | Nov 05 2026 | INV-2026-001 | $320.00 |
| RCT-0003 | Nov 14 2026 | INV-2026-002 | $300.00 |
| RCT-0004 | Nov 18 2026 | INV-2026-002 | $180.00 |
| Total received | Agreed total $1,000.00 | $1,000.00 |
04 / Check yours
Work out what is left before you write it
A part-payment receipt is only useful if its balance is right. Type the invoice total, what was paid before and what was paid now. The checker shows what is left, or the credit that is due if the client paid too much.
What is left after this payment?
The default is the receipt above. It is a teaching aid with whole cents, not legal or tax advice.
Invoice total $680.00 − paid before $200.00 − this payment $300.00.
One payment, one receipt. Alex later paid the last $180.00, and RCT-0004 shows $0.00 left. Do not change RCT-0003 to say so. It is a record of what happened on Nov 14 2026.
05 / Make yours
Make your receipt now
Use the same three steps with your own payment. Add the date, the amount received, how it was paid and a reference, then download the PDF. No sign-up, and what you type stays in this browser.
What the free receipt maker does
It makes a PDF receipt for one payment: the date, the amount received (it can be less than the total), how it was paid, a reference and the invoice number. It shows the total you enter, the amount paid and the balance. It has no “paid before” row. If an earlier payment was already made, enter what was owed before this payment as the total ($480.00 in the example above) and this payment as the amount received. The app’s receipt prints “paid before” for you.

06 / Rules by place
What the rules say about receipts
There is no one rule about what a receipt must contain. What exists is about records, card numbers, cash and, for contractors, lien releases. Here is what the pages we read say.
| Place | What it says |
|---|---|
| Federal (IRS) | The IRS lists receipts among supporting documents. It says to keep records as long as needed to prove income or deductions, and that, except in a few cases, the law does not require any special kind of records. [1] [4] A business that receives more than $10,000 in cash in one transaction or related transactions must file Form 8300. [5] |
| Federal (card numbers) | A person who accepts credit or debit cards may not print more than the last 5 digits of the card number or the expiration date on an electronically printed receipt at the point of sale. [3] |
| California | A home improvement contract must state that the contractor will give a full and unconditional lien release for the part of the work that has been paid for, before any further payment. That is a separate paper from a receipt. [6] |
| Other states | Check your state’s contractor licensing board and your contract. Some states and some contracts ask for a receipt or a lien release on each payment. |
These are summaries of the pages we read, not a full checklist and not legal advice. Rules and limits change, so check the current official page before you issue a real receipt.
How other countries do it
Other countries use receipts in their own way. In the UK, Australia and India, they do it this way.
| Country | How they do it |
|---|---|
| United Kingdom | In England, Citizens Advice tells customers to always get a receipt for a deposit, and for any materials it covers. This is advice to customers, not a statute. [7] |
| Australia | In Australia, the government’s business site says that in most retail or online sales the receipt doubles as the invoice, because payment happens at the time of the sale. [8] |
| India | In India, the GST rules set the particulars of a receipt voucher, which is issued when an advance is taken. One of them is the amount of the advance. [9] |
These are summaries, not full checklists. Rules change, so check the current official page before you issue a real receipt.
07 / When one receipt is not the whole job
From the first estimate to the final payment
Payments are where paper gets lost. InvoiceWren turns each confirmed payment into a numbered receipt and keeps them with the job.
- One receipt for each confirmed paymentYour client taps “I’ve paid” and you confirm it. The payment then gets a numbered receipt, such as RCT-0001, RCT-0002 and so on.
- It shows what is leftThe receipt shows the invoice total, what was paid before, this payment and the balance that is still owed.
- Nothing is marked paid by a clickA payment is counted when you confirm it. A click, a redirect or a cookie never marks an invoice paid.
- Receipts stay with the jobYour client can see a receipt for each confirmed payment on their own page, next to the estimate and the invoices.
08 / Sending it
What to say when you send a receipt
Keep it short. Thank the client, name the payment and the receipt, and say what is left. Here is an original example you can change.
Hi Alex,
Thank you for your payment of $300.00 on Nov 14 2026. Attached is receipt RCT-0003.
After this payment, the balance on invoice INV-2026-002 is $180.00, due Nov 21 2026.
If anything looks wrong, reply to this email and I will correct it.
Thank you,

If a receipt has a mistake, do not overwrite it. Write a new one, say that it replaces the first, and keep both.

10 / Questions
Questions about making a receipt
What is the difference between a receipt and an invoice?
An invoice asks for money. A receipt proves that money arrived. An invoice comes before the payment and a receipt comes after it. The how to make an invoice guide covers the invoice. A receipt is not a bill, so do not put a due date on it, but do show what is still owed if the payment was only part of the bill.
Do I have to give a receipt?
We found no US federal rule that says a business must give a receipt for every payment, and the IRS says that, except in a few cases, the law does not require any special kind of records. [4] Your state, your contract or your client may still ask for one, and many clients need it for their own books. In England, Citizens Advice tells customers to always get a receipt for a deposit. [7]
What should a receipt show?
Who paid and who was paid, the date the money arrived, the amount, how it was paid, a reference, and what the payment was for. If it was part of a bill, show the invoice total, what was paid before, this payment and what is left. For a client who deducts the cost, the IRS says documentary evidence is ordinarily adequate if it shows the amount, date, place and essential character of the expense. [2]
How do I make a receipt for a partial payment?
Write the payment, not the whole bill. Show the invoice total, what was paid before, this payment and the balance left. In this guide’s job, Alex paid $300.00 toward INV-2026-002 on Nov 14 2026, and the receipt says $180.00 is left to pay.
Does a receipt need a number?
It is a good habit, and it is not a rule we found. A number makes a receipt easy to find and hard to forge, and it lets two payments on one invoice be told apart. Number them in order and never reuse a number. This guide’s job uses RCT-0001, RCT-0002 and so on.
What about a cash payment?
Give a receipt for it every time, and record the date and amount, because cash leaves no trail. The IRS requires a business that receives more than $10,000 in cash in one transaction, or in related transactions, to file Form 8300. [5]
What should I leave off a receipt for a card payment?
Never print the whole card number. Federal law says a person who accepts credit or debit cards must not print more than the last five digits of the card number or the card’s expiration date on an electronically printed receipt at the point of sale. [3] The simplest habit is to show only the last four digits, or none.
How long should I keep a receipt?
The IRS says to keep records as long as needed to prove the income or deductions on a tax return. [4] Keep a copy of each receipt with the job it belongs to.
Is a receipt the same as a lien release?
No. A receipt proves a payment. A lien release is a separate paper in which a contractor gives up a claim against the property for the work that was paid for. California requires a home improvement contract to say that, on satisfactory payment for part of the work, the contractor will give a full and unconditional release for that part before any further payment. [6] Ask your state’s contractor board whether you must give one.
What if I made a mistake on a receipt?
Do not overwrite it. Write a new receipt with a new number, say that it replaces the old one, and keep both. Your records then show what you sent and when.
Can I make a receipt for free?
Yes. The free receipt maker makes a PDF receipt with the date, the amount received, how it was paid and a reference. There is no sign-up and no limit. See what it does and does not do on this page.
