How painters charge for painting work
Painters may quote a fixed price per room, per project or per measured painting area. Smaller repairs and touch-ups may be billed hourly. If pricing by square foot, clarify whether the rate uses floor area or the actual wall, ceiling or exterior surface area. Those measurements are not interchangeable. Use the method and scope agreed in the estimate.
The painting price should reflect the surfaces included, their condition and the agreed number of coats. Record the rooms or areas painted, the paint manufacturer, product line, color name or code, sheen and coats applied. Sherwin-Williams estimates typical paint coverage at approximately 350–400 square feet per gallon per coat, but actual requirements depend on the product and surface.
Surface preparation may include protection, cleaning, filling, sanding, caulking or priming. State what the original price covers. If ordinary preparation is already included in a fixed room price, do not charge for it twice. Significant repairs, stain-blocking primer or additional preparation can be separately priced when agreed.
Paint and primer may be included in the fixed painting price or billed separately by the gallon or agreed material amount. Record the products actually supplied. Make clear whether masking materials, floor protection, equipment and cleanup are included. Customer-supplied paint should not appear as paint sold by the contractor.
If a customer changes the color, finish, surface scope or number of coats after approving the estimate, document the effect on materials, labor, price and schedule before billing additional work. In Oregon, residential painting generally requires a CCB-licensed contractor, and qualifying projects involving disturbed paint in pre-1978 homes can require additional lead-safe renovation credentials and practices.
What the price depends on
- Pricing method and area
- A fixed price per room or project, or per measured painting area. Wall, ceiling or exterior surface area is not the same as floor area.
- Preparation
- Protection, cleaning, filling, sanding, caulking or priming. State what the original price covers.
- Coats and materials
- The agreed number of coats, and whether paint and primer are included or billed separately.
Questions people ask
What should a painting invoice include?
Include your painting business name, contact details, invoice number, invoice date, customer details and job-site address. Describe the rooms or surfaces painted, preparation, materials, quantities, coats and agreed prices. Record paint specifications where useful. Show applicable taxes, deposits, credits, total due, payment terms and how to pay. Include relevant contractor license details and references to approved changes.
Should painters charge by the room, square foot or hour?
Use the pricing method agreed with the customer. Fixed room or project prices work for defined painting scopes, while hourly rates can suit small repairs and uncertain work. If billing by square foot, identify whether the measurement covers actual paintable surfaces or another agreed area. Do not silently substitute floor square footage for wall square footage.
How do I calculate paintable wall area?
For a simple rectangular room, add the lengths of the walls and multiply by wall height to estimate gross wall area. Account for doors, windows and excluded surfaces as appropriate to the pricing method. Measure ceilings, trim and other surfaces separately. If the estimate uses floor area instead, state that clearly rather than describing it as painted wall area.
How many square feet does one gallon of paint cover?
Sherwin-Williams reports that one gallon commonly covers approximately 350–400 square feet per coat. Two coats over 700 square feet of wall area would therefore require approximately 3.5–4 gallons before waste and other adjustments. Actual coverage varies with the product, texture, surface condition and application method. Follow the manufacturer's product instructions.
Should I list paint colors and finishes on the invoice?
Yes. Record the actual paint manufacturer, product line, color name or code and sheen for each relevant room or surface. Include the number of finish coats and any separately applied primer. These details help the customer identify the correct product for touch-ups or later work. Do not invent a color code or product specification.
How do I invoice surface preparation and patching?
Describe the preparation actually performed and follow the accepted estimate. Ordinary cleaning, masking and minor patching may already be included in a fixed painting price. If substantial drywall repair, stain treatment or other preparation was approved as an extra, itemize it separately. Do not charge twice for included work.
Should paint and labor be on separate invoice lines?
Follow the agreed contract. Some painters quote one inclusive price covering labor, paint, primer, protection and cleanup. Others bill labor and materials separately. Either can be understandable when the scope is clear. If materials are already included in a fixed price, do not add another materials charge unless agreed.
How do I bill when the customer supplies the paint?
Bill for the labor and any contractor-supplied materials covered by the agreement. Do not charge the customer for paint they purchased themselves. Identify the supplied product when useful for the work record. If unsuitable or insufficient paint requires extra labor or another visit, follow the agreed approval process before billing additional work.
How do I invoice an additional coat of paint?
Check the original scope before charging. If the price included two coats and the painter completed only those coats, do not add another charge for the second coat. If the customer approved an additional coat or a change that requires more work, document the affected surfaces, labor, materials and agreed extra price.
What if the customer changes the paint color halfway through?
Record the requested change, affected rooms or surfaces, new color or finish, additional preparation or coats, and any price or schedule impact. Obtain approval through the contract's change procedure before treating the new work as an additional charge. Reference the approved change on the final invoice.
Do painters need a contractor license in Oregon?
Generally, yes. Oregon's Construction Contractors Board lists paid painting work among activities requiring a CCB license. Include the business's correct CCB license number in appropriate business and project documents. Verify the license classification and any additional credentials required for the actual work.
Does Oregon require a written painting contract?
Oregon generally requires a written contract for residential construction, improvement or repair work when the aggregate price exceeds $2,000. If the price starts below $2,000 and later exceeds that amount, a written contract must generally be delivered within five days. The CCB also requires certain consumer notices. A painting invoice does not replace those contractual obligations.
Do painters need lead-safe certification for older homes?
Covered paid painting preparation or renovation that disturbs paint in pre-1978 housing or child-occupied facilities may trigger lead-safe requirements. Oregon administers an authorized Renovation, Repair and Painting program. CCB-licensed contractors performing covered work generally need the appropriate Lead-Based Paint Renovation license, trained personnel and required practices. Exceptions exist for certain minor activities, but not all work qualifies.
Does repainting a house require a permit in Portland?
Portland's residential permit guidance generally lists painting buildings among exterior maintenance activities that do not need a building permit. However, additional requirements may apply to historic properties, specific alterations or regulated lead-related work. Check the actual project conditions before assuming every painting job is exempt from all approvals.
Do painting contractors charge sales tax in Oregon?
Oregon does not have a general sales or use tax, so ordinary painting work performed in Oregon generally does not require an added state sales-tax charge on paint, supplies or labor. Work performed in other states may follow different rules. Do not confuse separate environmental program fees with sales tax.
What is the Oregon PaintCare fee?
Oregon participates in PaintCare, which funds recycling and management of eligible leftover architectural paint through a fee assessed on qualifying new paint containers. The fee depends on container size and is not a general sales tax or refundable deposit. If the cost is already included in purchased paint or an agreed materials price, do not automatically add it again to the customer invoice.
How should painters bill for paint disposal and cleanup?
Follow the agreed price and actual services performed. Standard job cleanup may already be included in the painting quote. List an additional disposal charge only when appropriate and agreed. Eligible leftover paint can be taken to participating PaintCare collection locations in Oregon, while other waste may have separate handling rules. Do not describe a free collection service as a government disposal fee.
Should a painting invoice include a warranty?
If the painter provides a workmanship warranty, state or reference its actual terms, coverage, duration and exclusions. Keep that separate from any manufacturer product warranty. Do not promise a universal number of warranty years or assume the paint manufacturer covers labor.
How should I invoice a painting project in stages?
Follow the approved contract's payment milestones. Identify the stage or completed work currently being billed and keep the total contract value separate from the current payment request. Apply deposits and previous payments accurately. Reference approved changes without billing the same work twice.
How do I invoice touch-ups or a warranty callback?
Identify the original project, the areas revisited and the work completed. If the work is covered by an agreed warranty, show the appropriate no-charge service or credit. If the client requests additional work outside the original scope, obtain approval before charging for it.
