How to bill for handyman work

Handymen often price small repairs by the hour, with an agreed minimum charge for a short visit. Make clear whether the minimum includes the first hour, the first two hours or only a separate callout fee. When it includes labor time, bill additional hours only after the included time has been used. Avoid charging for the same time twice.

Predictable tasks such as furniture assembly, shelf installation or door adjustments can be quoted at a fixed price. If a fixed price already includes labor and standard materials, do not add those costs again. For a visit involving several tasks, either provide task-based prices or explain which tasks were completed during the billed hourly period.

Materials can be included in an agreed fixed price or charged separately using the pricing method disclosed to the customer. Identify significant supplied parts and their charges. If the customer provides an item, do not invoice it as a contractor-supplied material. Extra purchasing trips or sourcing fees should be agreed before they are charged.

Travel, service-call and haul-away fees may be appropriate when agreed in advance. Explain whether travel is already covered by the minimum visit. For Ohio consumer repairs and services, applicable rules require disclosure of service and travel charges at first contact, so do not introduce surprise fees on the final invoice.

For a visit with multiple small jobs, list the completed tasks clearly, including their locations when helpful. Record any additional work authorized during the visit. Use the agreed payment terms, show applicable taxes and subtract any deposits or earlier payments to arrive at the outstanding balance.

Questions people ask

What should a handyman invoice include?

Include your business name and contact details, invoice number, invoice date, customer details and service address. Describe the completed repairs, service date, labor hours or fixed prices, and materials supplied. Show agreed service or travel fees, applicable taxes, discounts or credits, the total, payments already received, balance due, payment terms and payment instructions. Include contractor license information when applicable.

How do I charge a minimum visit fee?

State what the minimum covers. For example, if your agreed minimum is $150 for the first two hours, a three-hour visit at $75 per hour would normally be billed as $150 for the included time plus $75 for the extra hour. If your minimum is instead a separate callout charge, disclose that arrangement before the visit and bill according to the agreement.

Can I charge both a minimum visit fee and hourly labor?

Yes, if the customer agreed to that pricing structure and the charges do not overlap. A minimum that includes the first two labor hours should not be followed by another charge for those same hours. If the minimum is a separate dispatch fee, make that clear before work begins.

Should I list every small task separately?

Describe the completed tasks so the customer can understand the visit. You can list task-based prices, or use one labor charge with a description of the repairs completed during that time. You do not need to create a second charge for a task already covered by the labor or fixed-price amount.

How do I invoice several handyman jobs in one visit?

Identify the service date and location, list the completed repairs and apply the agreed pricing method. For hourly billing, total the billable time without repeating hours across tasks. For fixed-price work, list the accepted prices. Add separately agreed materials or other fees and show the final amount due.

Should I bill materials separately from labor?

Follow the agreed pricing arrangement. If parts and materials are included in a fixed-price task, do not charge for them again. If they are billed separately, identify the significant materials, quantities and customer-facing prices. Keep purchase receipts when needed to support cost-based charges.

Can I add a markup to handyman materials?

You can use a disclosed material-pricing method that allows an agreed markup, subject to applicable law and the contract. A markup can account for sourcing, handling and related costs. Make clear whether the price is based on purchase cost, a marked-up amount or an all-inclusive task price. Do not describe a marked-up charge as the original receipt cost.

Can I charge a trip fee on top of the minimum visit?

Only when the pricing arrangement and applicable rules allow it. Tell the customer whether the minimum already includes travel. In Ohio, applicable consumer repair and service rules require disclosure of travel and service charges at first contact. Do not add an undisclosed fee only when issuing the invoice.

How do I bill for a TV mounting or furniture assembly job?

Use the agreed flat price or hourly rate. Describe the completed task and identify significant materials or accessories supplied by your business. If a flat price includes labor and standard fixings, do not bill them a second time. Requirements and tax treatment can differ depending on the item, installation and location.

What if the customer supplies the materials?

Bill for the agreed labor and any contractor-supplied materials actually used. Do not list customer-purchased products as though you sold them. If unsuitable or missing customer materials cause extra visits or labor, obtain approval for any additional charge before adding it to the invoice.

What if the handyman finds extra repairs during the job?

Explain the additional problem, the proposed work and its price before performing the extra work. Obtain the authorization required by the agreement and applicable law. For covered Ohio consumer repair transactions with an estimate above $50, unforeseen additional necessary repairs generally require authorization when the additional cost reaches 10% or more of the original estimate, excluding tax.

Does a handyman have to provide an estimate in Ohio?

Ohio's consumer repair and service rule generally gives customers a choice of written, oral or no estimate when the expected cost exceeds $25, with specified disclosure procedures. The rule also provides an alternative involving a written quote binding for five days. Check which requirements apply to the transaction before starting work. An invoice issued afterward does not replace required advance disclosures.

Does a handyman need a license in Columbus, Ohio?

It depends on the work performed. Ohio does not impose a general statewide home-improvement-contractor license, but Columbus has local licensing requirements for specified home improvement and contractor work. Specialized construction trades have additional rules. Check the required credentials and permits for the actual work instead of assuming every small repair is either licensed or exempt.

Do handymen charge sales tax on labor and materials in Ohio?

Tax treatment depends on the work. Ohio generally treats qualifying repairs or improvements incorporated into real property as construction contracts, with the contractor responsible for tax on materials purchased. Repairing or installing items that remain tangible personal property can be taxable to the customer. Do not automatically tax every material line or assume all handyman labor is exempt.

How do I bill for haul-away or disposal?

List the agreed debris removal or disposal service separately if it was not included in the original price. Explain whether the charge covers labor, transport or disposal. Do not add a cleanup or dumping fee that was already included in the quoted job price.

When should a handyman invoice be paid?

Use the terms agreed with the customer. A one-time small repair may be payable upon completion, while property managers or repeat commercial clients may use a different billing schedule. State the due date clearly and subtract deposits or payments already applied to the invoice.

How do I invoice a warranty callback or return visit?

Reference the original job and describe the reason for the return visit. If the work is covered by an agreed warranty, show the appropriate zero charge or adjustment. If new, unrelated work is requested, obtain authorization and price that work separately.
