A five-step schedule for late invoices

By Abrar · Updated · 5 min read

A late invoice rarely needs a fight. It usually needs a calm reminder at the right time, and then a firmer one if nothing happens. A fixed schedule means you decide once, and then follow it every time.

1The five steps

StepWhenToneWhat to say
13 days before it is dueFriendlyA heads-up that it is coming, with the amount and how to pay
2On the due datePlainIt is due today, with the link or details to pay
37 days lateFirmIt is now a week late, please pay today, reply if something is wrong
414 days lateFirmSecond notice, with the new total if you have a written late fee
530 days lateFinal noticePay now, or reply to agree a plan

Send them on working days, in the morning, so they are read.

2Example wording

**Step 2:** "Hi Sarah, invoice INV-0039 for $2,598.00 is due today. You can pay by Zelle to [email protected]. If you already paid, thank you, and tell me so I can check."

**Step 3:** "Hi Sarah, $2,598.00 is still unpaid. It was due on Oct 30 2026. Please pay it today. If something is wrong, reply and I will help."

Keep each message short, with the invoice number, the amount, the due date and one way to pay.

3Stop when it is paid

Stop the schedule when the money arrives, when your client says they paid and you are checking, or when you have agreed a new date in writing. Never send a reminder for something that is paid. Check your own account before you confirm a payment.

4What if they still do not pay?

After the final notice, think about the next step: a call, a written payment plan, or advice from someone who knows the rules where you work. Collection rules and late fees differ by place, so ask before you add fees or send anything formal.

Questions people ask

Should I charge a late fee?

Only if you said so before the job and on every invoice. See how to set late fees.

How many reminders is too many?

Five, spread over a month, is a reasonable chase. More than that, speak to the client directly.

Can reminders go out on their own?

In the InvoiceWren app they can: it emails your client from your name on these days, and stops when it is paid. You can turn it off for any invoice.
